Email Flow
This page shows the proposed CLC mailbox setup before anything is changed live in Microsoft 365. The goal is to make the alias routing and shared inbox access easy to review and approve first.
Current licensed users
These are the personal inboxes currently in use. They stay personal, while company-wide addresses can be routed into shared mailboxes.

Proposed shared mailboxes
Any message sent to one of the aliases below would end up inside the shared mailbox it belongs to. Shared mailboxes show up automatically in Outlook for the people they are shared with.
Accounting
- Used for accounting-related messages and records.
- Good fit for accountant-facing communication that should stay separate from personal inboxes.
Banking
- Reserved for bank, payment, and e-transfer handling.
- Kept tighter for now so finance traffic stays controlled.
General inquiries
- Public front door for website, info, and leasing inquiries.
- Useful when both brothers need to see and reply to the same incoming leads.
Service
- Used for service issues, repairs, and contractor-facing requests.
- Keeps operational messages out of the general inquiries inbox.
Shared mailboxes can appear automatically in Outlook for the people they are shared with, so they can open those inboxes without signing in separately.
If preferred, a copy of every incoming message can also be forwarded into a person's personal inbox. If they want to keep their personal inbox cleaner, they can simply open the shared mailbox whenever they want to review it.
Feedback
This is the place to capture questions or approval notes before any mailbox changes are made live.
Use feedback to clarify whether an alias should go to a personal email or a shared mailbox before the actual setup is created.
